When will I receive my badge?

You will pick up your badge and lanyard onsite at the Registration counters inside the Colorado Convention Center. If you need to register onsite or need to make changes to your registration, you can do this onsite at the Registration counters.

Where can I book a hotel?

CEDIA Expo partners with various hotels in the Denver area with preferred pricing for CEDIA Expo attendees. The official housing provider is onPeak. Book your hotel here.

When is CEDIA Expo?

CEDIA Expo will take place September 8-12 in Denver. Training classes run from September 10-14 and the show floor is open September 10-12. Exhibit hours are as follows:

  • Thursday, Sept. 10: 9:00 a.m. – 5:00 p.m.
  • Friday, Sept. 11: 9:00 a.m. – 5:00 p.m.
  • Saturday, Sept. 12: 9:00 a.m. – 3:00 p.m.

Can I take photographs during the show?

Photography and video recording is NOT permitted in the exhibit hall except by the Official Show Photographer or an approved Exhibitor Appointed Photographer. A security hotline will be provided to report violators.

If I need to cancel my registration, will I receive a refund?

Registration for CEDIA Expo is non-refundable. This includes trade show floor only passes, training passes, a la carte training, certification exams, and special events. However, registrants unable to attend may send a substitute by bringing the registrant’s confirmation letter to the onsite registration counters at the Colorado Convention Center to receive a badge for admission.

What does the Expo only pass include?

What type of identification is needed to pick up my badge?

A valid photo ID and business card for the company that you registered under is required to enter the trade show.

What are the education and certification policies?

You must register for each class you plan to attend. All sessions are on a first-come, first-served basis. If you are not on the class roster, you are not permitted in the classroom. Changes are permitted online or onsite to other sessions that are still available. Attendees may transfer to other eligible classes free of charge if utilizing the CEDIA Training Pass.

If you are more than 15 minutes late to a class, your seat is not guaranteed. After 15 minutes, you are considered a no-show and your seat may be given to a wait-listed individual. No refunds will be given for no-shows.

Course schedules are subject to change. If a course is cancelled, your fee for that course will be refunded at the time of the cancellation. If a change in the course schedule results in your inability to participate in a selected class, your fee for that course will be refunded.

No refunds will be issued due to conflicts with manufacturer product training or non-CEDIA sponsored events.

Can children attend CEDIA Expo?

You must be 18 years or older to register and attend. Show management reserves the right to refuse admittance to anyone under the age of 18. Proof of age is required on show site.

Can I set up my own booth?

LABOR

Colorado is NOT a “right-to-work” state. Exhibitor personnel may set up their own exhibits if so desired using their own non mechanized tools and company personnel. Union Labor is available to assist in the installation and dismantling of exhibit booths. Exhibit labor, freight and rigging labor, electricians and plumbers can be arranged for at established rates, using the enclosed order forms.

EXHIBIT LABOR JURISDICTION

Full time employees of an exhibiting company may install and dismantle their own display provided the work can be completed in under 60 (sixty) minutes without the use of mechanized tools. Any outside or additional labor required for install, dismantle or decorating of display is to be performed by union labor.

How do I find out if my booth meets all regulations?

Exhibitors should first reference the booth guidelines for your type of booth as well as the Hanging Sign & Graphics Guidelines (if you qualify and will have a hanging sign) in the CEDIA Expo 2020 Exhibitor Service Manual (coming soon!).

Can I provide samples of food and/or beverage in my booth?

All food and beverage must be purchased from Centerplate, the exclusive food service provider for the Colorado Convention Center. Information including menus can be found in the ADDITIONAL SERVICES section of this manual. No other food items or beverages may be brought into the facility. There is a ZERO tolerance of any violation of the Alcohol Beverage Control (ABC) laws and regulations regarding bringing in and consuming outside alcohol in the facility.

What insurance coverage do I need and who should be listed as additional insured?

ALL EXHIBITORS ARE REQUIRED TO SECURE GENERAL LIABILITY INSURANCE AND CARRY PROOF OF INSURANCE TO SHOW SITE! You must submit your insurance documents online through your Exhibitor Portal or you may submit your COL’s directly to derrick.nelloms@emeraldx.com.

How do I get an International Visa letter of invitation?

Visa letters can be requested during the registration process. If you are having trouble securing your Visa letter, please contact cediaexh@experient-inc.com or Customer Service toll free at 800-465-5514. International #, please call 847-996-5814.
